Sharefox's Q4 2025 update adds a shop carousel, downloadable order PDFs, live unit availability, multi-location filtering, and auto-applied coupons. Admin gains buffer time extensions and a new Locky lock integration. Marketing gets JSON-LD schema and affiliate tracking. Subscriptions get same-date billing, and the API now exposes accounting report data.
Product Update - Q4 2025

Every quarter, our product and engineering teams ship dozens of changes to the Sharefox platform — some small, some that quietly remove hours of manual admin work. Q4 2025 was no exception. Below is a full breakdown of what changed in the Shop, Admin, Marketing, Subscriptions & Self-Service, Reports, and Public API areas of the platform, along with why each update matters for operators running rental, subscription, or hybrid commerce businesses.

“The features we prioritize each quarter come directly from support tickets, sales calls, and merchant feedback. Buffer time extensions and the Locky integration in this release both started as recurring requests from operators managing weekend turnarounds.” — [Insert name], [Insert title], Sharefox

Your front page can now be configured with a full image carousel — a simple way to make a strong first impression if you have good photos of your fleet, tools, or spaces. Setting this up involves a small amount of custom coding from our side, and our design team can help source suitable stock imagery if you don’t have your own. If you’re rethinking your storefront design more broadly, our guide on making renting feel as easy as online shopping covers the UX principles behind a strong first impression.

In My Orders, customers can now download PDF versions of their order confirmations, offers, and receipts directly — no need to email support for a copy. It’s a small change that removes a recurring support request.

We’ve also added the ability to show the number of available units of a product for a given rental period directly in the shop, and you can now cap how many units of a product a single customer can add to their cart. Both changes reduce overbooking risk and give customers clearer expectations before checkout. If inventory visibility is a pain point for your business, see our equipment rental inventory management guide for a deeper look at the mechanics.

The product list can now use a multi-select location filter, letting customers filter by region or specific site — useful if you operate across many locations. We’ve written more on structuring a multi-location storefront in our guide to working with multi-locations.

Finally, coupons got an upgrade: you can now configure a coupon to apply automatically in the shop, with no code required from the customer — a small but effective way to run blanket discounts for online orders.

Admin

update buffer times - Sharefox rental software

In the Schedule, you can now click directly on a buffer time (where one is set) to manually adjust its duration for a specific order.

We’ve also introduced Buffer Time Extensions, aimed at a common scheduling headache: not wanting to drive to a shop to clean a unit on a Saturday before it goes out again that same weekend. Under Settings → Channels → Buffer Times, you can now define an “Extension” buffer that blocks new orders whenever a return or pickup already falls within that window. [Read the full setup guide →]

In the order list, you can now filter for untagged orders by unclicking all order tags — a quick way to spot orders that haven’t been triaged if your team relies on tagging.

For Autopass customers, all passings can now be assigned to a dedicated sales product for cleaner accounting mapping.

We’ve launched a new self-service lock integration with Locky. Access codes now appear in the Admin Order Page, My Rentals page, and confirmation emails — the same experience customers already get with our other self-service partners. For context on how these integrations fit into a broader self-service strategy, see self-service rental with Sharebox and Sharefox.

The Coupons module also got a visual refresh, and we renamed the “Activities” module (and related terminology) to Blog and Articles, since that’s simply a better fit for what it’s used for.

Marketing

SEO title tags now also work for sales products, not just rental products.

To help AI models and search engines better understand and surface your products, we’ve implemented Schema Markup (JSON-LD) across key pages. This is part of a broader shift toward AI-driven and answer-engine search, which we cover in more depth in our guide to AI search visibility for rental businesses — worth a read if you want your listings to show up in AI-generated answers, not just traditional search results.

We also fixed the og:image metatag so preview images render correctly when your pages are shared on social media.

If you run affiliate or partner marketing campaigns, you can now track their effectiveness natively: a code in the URL is detected, and a matching tag is applied to the order as soon as the customer adds their first item to cart.

The blog post slug (the URL “tail”) is now editable — a small but useful lever for including target keywords in your URLs. For general keyword strategy, see what SEO is and why keywords matter for rental businesses.

Subscriptions & Self-Service

You can now force all subscription customers to pay on the same date of the month, which lets you batch inspections and cleaning once a month instead of daily — a meaningful time saver for larger subscription fleets. If you’re building or refining a subscription offering, our subscription management software overview and car subscription business guide walk through the operational model in more detail.

When creating a new subscription order from Admin, the end date and time are now pre-populated based on the default subscription length, cutting a manual step out of order creation.

Unavailable subscription products can now be sorted to the bottom of the product list and greyed out, so customers aren’t tempted to try to book something that isn’t currently available.

We’ve also improved the retry mechanism on the self-service payment gateway, based on new API updates from Inlet — reducing failed-payment friction for recurring subscription billing.

Reports

A new “Internal Orders” report is now available for admins, surfacing data on internal orders that the General Accounting Report intentionally excludes.

The Inventory List Report now includes a new Effective Date field, and the General Accounting Report has two new fields: counts.rental_days and counts.rental_days_in_period.

Public API & Other Updates

General Accounting Report data is now accessible via the Sharefox API — useful for accounting workflows, your own product utilisation analysis, or other internal reporting. For a sense of how operators are already using our API for accounting and finance workflows, see the benefits of Sharefox’s invoicing module and accounting integrations.

Invoicing data can now be both retrieved and marked as paid via the API, useful if payment happens in an external system.

We also invested heavily in speed performance this quarter — particularly in the Shop, Admin Orders, and Inventory areas — through improved caching, leaner data flows, and other backend optimizations.

… plus a long list of smaller fixes and improvements that didn’t make the headline list.
